Sponsors, Let’s Get Science Fair Ready
Helping support student-led science and engineering projects
A science or engineering fair project is an opportunity for students to investigate questions or issues on topics they are passionate about. With your help, each student will have a unique experience building confidence and a sense of self-fulfillment.
Sponsor Responsibilities
Students need the support of a sponsor to complete a project.
This is the PowerPoint from the Sept 29th Teacher/Sponsor Meeting: PowerPoint PowerPoint in PDF format
Sponsors must complete the sponsor registration in StemWizard BEFORE students can register in StemWizard. Students must select you as their sponsor so you will be able to follow their registration process. StemWizard opens October 6th.
Sponsors are expected to review the CASEF Reference Guide. This is a comprehensive guide with detailed information you need to follow to participate. The guide explains the fee structure, CASEF requirements, ISEF forms, term definitions, and fair procedures. The CASEF Reference Guide is on the Forms/Resources page. There are also some Quick Reference Pages that are from the Reference Guide.
CASEF follows the following chain of communication. Students should contact the sponsor for any questions or clarifications and the sponsor should contact CASEF. Student participants should not contact CASEF directly.
Sponsors from a public school should send an EITC Letter of Support. –review sample letter
School Registration need to be completed. The information for registration and fee payment is in the CASEF Reference Guide. The Form for School Registration is on the Forms/Resources page.
Each school has a commitment to provide TWO judges for judging day. Schools should also provide ONE volunteer to help with fair activities.
Sponsors should help their students determine the proper category for their project. A project may fit into multiple categories; review the category descriptions to determine the best fit. Please note that some categories use different rubrics. If a project is placed in the wrong category, that may affect how the project is scored. Science (possible) > Applied Science (doable) > Engineering (feasible, economical) > Technology (can do, done).
Sponsors must submit the School Inventory Form by the deadline. Registration is not complete until the School Inventory Form is submitted and all milestones are completed in StemWizard. Failure to have all participants listed on the School Inventory form or to have completed milestones may result in disqualification of projects.
Sponsors are expected to monitor their students progress in StemWizard.
Make sure all ISEF paperwork is completed correctly and submitted before the deadlines. Sponsors need to review all the paperwork to make sure everything is completed. Please check for missing signatures, missing check boxes, dates, proper citations, etc, and overall completeness.
All projects must complete Form 1, 1A with Research Plan, 1B, and 3.
Some projects need specialized paperwork, please refer to the Reference Guide for SRC Guidelines.
If the project requires Prior Approval, the approval must be completed BEFORE any student experimentation.
Sponsors are expected to review their students work in StemWizard. As a sponsor, you are able to see your student’s uploads. Please review them for legibility, that the complete form is visible and properly completed, and all milestones are completed by the due date.
Sponsors are given additional days after the student final deadline to review entries. This is especially important for the “Submission for Judges Review” Milestone. It is the sponsor’s responsibility to review the Judges’ Brief and be sure it is compliant with the rules. These will not be edited by CASEF and cannot be changed after the final deadline. It is the first impression the student makes with the judges who are reviewing the project.
